Docs In

Stop chasing clients for documents. Start receiving the right ones.

Docs In asks every client for what they owe your practice each period, checks each file on arrival, bounces the wrong ones with a reason, and reminds until the list is complete. One board shows what is still outstanding across the whole practice.

Founding places open soon, in order of request.

The problem

You already have a request form or a client portal. Here is what it is not doing.

A request form accepts whatever the client drags in: the wrong month, a credit card statement where a bank statement was asked for, a photo of half a receipt. Someone on your team still opens every file to find out.

Chasing a client for the third time is awkward, so it slips, and the close slips with it. Meanwhile the status of the month lives in a dozen email threads and a spreadsheet, and the question of whether a client is ready to close takes ten minutes to answer.

Checked on arrival

The wrong file is bounced before anyone opens it.

Each upload is compared with the request: is this a bank statement or a card statement, which account, which period, is every page present and readable. A mismatch goes straight back to the client with a plain explanation they can act on.

Chased without you

Reminders that do not get embarrassed.

Each request goes out under your practice’s name with a private upload link. Three reminders by default, spaced for the deadline, until the list is complete.

One board

Know what is outstanding across the whole practice.

Every client, every item, and whether it is received, waiting or wrong. Clean files land in a folder per client and period, named consistently and downloadable in one go.

Also in Docs In

No login for clients

Clients receive a private link and upload from any device.

Templates for the common cases

Bank statements, card statements, receipts over a threshold, payroll and sales reports, monthly, quarterly or at year end.

How it works

How a month runs with it.

  1. List.

Set up each client’s list once: whatever that client owes you every month, quarter or year end.

  2. Receive.

Clients upload through a private link. Every file is checked on arrival, and the wrong ones are returned with a reason.

  3. Close.

Reminders escalate on their own, and the board tells you what is left. Clean files are filed per client and period.

Pricing

Priced on clients, not seats.

A two person practice with sixty clients is exactly who Docs In is for, so it is priced on active clients with unlimited staff. Prices are in US dollars; Paddle, our reseller, bills in your local currency and adds tax where it applies.

  • Encrypted and separated.

Documents will be stored encrypted at rest, in a database region in the European Union, with each practice’s data separated from every other practice’s.

Access is limited to the people in your practice.

  • Deletion that happens.

Deletion requests are completed within 30 days. A data processing agreement is drafted with founding members before access opens.

Questions

Common questions

Anything else, write to support@vespera-org.com.

What does the checking actually do?

It reads each uploaded file and compares it with the request: document type, account, period, and whether every page is present and readable. A mismatch is bounced to the client with a plain explanation. It does not do your bookkeeping and it does not post anything to your ledger.

Do clients need an account?

No. They receive a private link and upload from any device. Your practice’s name is on every message.

Where do the files end up?

In a folder per client and period inside Docs In, downloadable in one go, with consistent file names. Direct hand off to your document store is on the roadmap, and founding members choose which comes first.

What does founding mean?

Up to 40 active clients for $39 a month with unlimited staff, kept at that price for as long as you stay subscribed. The Firm plan afterwards is $99 a month for up to 150 active clients.

Who handles payment?

Paddle.com, our reseller and merchant of record. Paddle bills in your local currency, handles tax and issues your invoices.

Close the month without the email tennis.
